BEFORE THE HANDOFF
Start with what’s in place.
Every management transition starts with a different set of circumstances. Your property may be occupied, actively leasing, awaiting repairs, or dealing with unresolved balances.
We establish the current status, identify what needs attention, and coordinate a proposed start date around your existing management arrangement. You’ll know what we need from you, what we’ll request from your outgoing manager, and which items could affect the timeline.
Timing & responsibilities
Identify the notice requirements and transition dates in your current agreement, along with who will handle each part of the handoff.
Property & resident status
Establish occupancy, upcoming lease expirations, active applications, open maintenance, and unresolved resident matters.
Records & access
Identify where leases, accounting records, deposit information, keys, and property access details are held so we can request the necessary items.

COORDINATING THE HANDOFF

Once the transition date is established and you’ve authorized coordination, we work directly with your outgoing manager to request records, arrange access, and track outstanding items.
We review what arrives against what was requested, flag missing information, and keep you informed about anything that needs your involvement. The goal is to begin management with a documented understanding of your property’s accounts, commitments, and ongoing needs.
Lease & account records
Review leases, amendments, resident ledgers, and deposit records. Coordinate the transfer of applicable funds and investigate differences between the records and amounts received.
Property access & open work
Arrange keys, codes, and access details alongside open work orders, approved repairs, vendor contacts, and scheduled services.
Outstanding items
Track missing documents, pending payments, and unresolved questions, with a clear next step and responsible party for each.

RESIDENT COMMUNICATION
Clear instructions for the people who live there.
Residents need to know when management changes, where to pay, and who to contact. We coordinate the introduction around the transition date and provide instructions for the services they use, including how existing maintenance requests will be handled.
Management contacts
Introduce First Class Realty & Property Management, confirm when our management begins, and explain how to reach us for routine questions and urgent maintenance.
Payments & portal access
Provide payment instructions and portal setup information, including how to address existing automatic payments and questions about balances
during the change.
Maintenance continuity
Explain where to submit new requests and confirm the status of reported issues, scheduled appointments, and work already underway.


AFTER THE HANDOFF
Know where things stand from the start.
Taking over management is the beginning of the work. We use the transferred records and our initial property review to establish account information, prioritize outstanding maintenance, and identify upcoming leasing decisions.
You receive an update on what’s been confirmed, what remains unresolved, and where we recommend taking action first.
Account setup & review
Check opening balances against the records and funds received. Flag discrepancies and confirm your owner portal access and reporting arrangements.
Maintenance priorities
Review open work alongside observed property conditions. Distinguish urgent needs from routine work and improvements that require your approval.
Leasing & owner decisions
Review vacancies, upcoming lease expirations, and pending applications. Bring forward pricing, renewal, and spending decisions with the information you need to respond.
